ProcessMaker and SugarCRM Workflow

SugarCRM workflow brings power and precision to CRM users.

Sales processes and procedures within organizations normally have a defined set of instructions that must be followed in a particular order.  The problem with this is that CRM users can often skip steps and deviate from standard procedure because their CRM application provides them with this freedom and flexibility.

With ProcessMaker’s integration with SugarCRM, administrators can ensure that best practices are followed in the same way every time by applying a powerful workflow and routing engine to an equally powerful CRM application.  We call this SugarCRM workflow.

Single sign on with SugarCRM workflow

As an example, think about a high value opportunity in your CRM.  It is often recommended that a sales or financial manager is made aware of high value opportunities that are created by a sales rep in order for the financial manager to assist the sales rep with the negotiation and to close the sale.  In this example, let's consider an opportunity of $10,000 or more as high value.

Using ProcessMaker’s business logic and routing engine in SugarCRM workflow, we can instruct Sugar to split a task or activity into two parallel activities – assigning one to the sales rep, and the other to the Financial VP.  With SugarCRM workflow this happens automatically when the sales rep assigns a value of $10,000 or higher to the opportunity when creating it.

Now when the financial VP logs into SugarCRM workflow, a new activity can be seen in the home area under the ProcessMaker activity dashlet.  The Financial VP can review or edit the opportunity and any notes associated with it as well as where in the workflow this resides by using the new icon in the dashlet.  Now the financial VP of this organization is fully aware of any high value negotiations taking place and can assist if necessary.

SugarCRM Workflow converts cases to activities

If the organization decides to make any updates to this process - such as exactly what value constitutes a high value opportunity, the SugarCRM workflow designer can be accessed from the home area.  Here the process is fully editable to users with the correct permissions and routing rules can be easily changed according to a company’s needs.

Furthermore, the ProcessMaker integration now allows administrators to select SugarCRM workflow variables to use within the routing rules and business logic.  These variables are extracted from SugarCRM workflow and relate to the fields in SugarCRM in which the users enter data.

A high value opportunity process is just one example of SugarCRM workflow usage.  With ProcessMaker embedded into SugarCRM, it becomes impossible for users not to follow your company procedures and standards when managing customers or leads.

The end result of ProcessMaker and SugarCRM combined is a very powerful application known as SugarCRM Workflow.  SugarCRM workflow brings organizations the power of customer management and workflow management in one easy to use application, ensuring that company standards and procedures are not just followed, they are enforced. The end result of SugarCRM workflow is better lead management, happier leads and higher conversion rates.
